What should you prepare before a technology pilot?
You do not need a complete technical specification before the first discussion. Bring a real problem, the people who experience it and the constraints of the existing system so discovery can produce a testable scope.

Prepare useful inputs
Describe the current workflow with examples that do not disclose sensitive information. Identify delays, intended users, source systems and the person who can approve access.
Discuss time and budget
Effort depends on access, data quality, integrations and acceptance criteria. Separate discovery from delivery and record unresolved assumptions. A fixed quote should not rest on unverified system assumptions.
Define the end of the pilot
Agree who decides, what success means, what will be handed over and when to stop or expand. Include training, documentation, permissions and support ownership in the scope.
